Our team is the cornerstone of our success, and we are currently looking for a dedicated Administrative Coordinator to join us.

Position Overview:

The Administrative Coordinator will play a vital role in the daily operations of Welles Mill Co. This position involves a blend of bookkeeping support (excluding in-depth accounting tasks), front office management, customer service, and handling of customer orders. The ideal candidate will be an organized, proactive individual who can effectively manage multiple tasks in a fast-paced environment.

Key Responsibilities:

- Serve as the first point of contact for the company, managing phone calls and correspondence, including emails and letters.

- Assist with bookkeeping tasks such as invoice processing, payment tracking, and financial record maintenance, while liaising with the accounting department for comprehensive financial management.

- Handle customer inquiries, providing timely and accurate information regarding our products, services, and order status.

- Manage purchase orders from creation through to delivery, ensuring accuracy and timely fulfillment of orders.

- Maintain and update company databases, records, and documentation, ensuring confidentiality and compliance with company policies.

- Support the management team with scheduling, meeting coordination, and other administrative tasks as needed.

- Contribute to the improvement of office procedures and customer service practices.

Qualifications:

- Proven experience in an administrative role, preferably within a distribution or logistics environment.

- Strong organizational and multitasking abilities, with a keen attention to detail.

- Excellent communication and interpersonal skills, capable of fostering positive relationships with team members and clients.

- Proficiency in office software, including MS Office Suite, and experience with database management.

- Ability to work independently and as part of a team in a dynamic environment.

- High school diploma required; further education or certification in business administration or a related field is a plus.

Job Type: Full-time

Pay: $16.00 - $19.00 per hour

Expected hours: 40 per week
